Event coverage
Event coverage built around your run of show.
Company gatherings, school events, fundraisers, grand openings and community events. We plan coverage from your program so the moments that matter are covered when they happen.
Event brief
- Run of show
- The program with times: doors, welcome, speakers, awards, meal, close.
- Must-haves
- The moments that justify the coverage: a ribbon cutting, an award, a keynote.
- People
- Hosts, speakers, sponsors and guests you want photographed, ideally with a photo to recognize them.
- Venue
- Indoor or outdoor, stage lighting, room layout, and who runs audio and visuals.
- Group photos
- Which groups, where, and who will gather them at the time.
- Delivery
- A few photos early for social, or only the full edited set.
The shot list
Your program tells us where to be, and when.
An example of a typical evening event. Highlighted segments are the ones we protect, because missing a keynote or an award can't be fixed afterward.

Planning
What makes event coverage go smoothly.
Send ahead
- The run of show, even a draft
- A venue contact and parking or load-in notes
- Names of the people you most want covered
Decide
- Photos, video or both
- The mix of posed and candid
- Which group photos, and who gathers them
On the day
- One contact who knows the program
- A safe place for equipment
- A heads-up when the schedule changes
Deliverables
Common event deliverables.
Your quote spells out which of these you're getting, how many, and when each is delivered.
Edited gallery
The full set of edited photos, organized by part of the event.
Early selects
A handful of photos delivered sooner for social posts and thank-you messages, if agreed.
Recap video
A short edit that captures the feel of the event for next year's promotion.
Speaker clips
Cleanly recorded segments of talks or presentations, where audio can be captured.
Venue and sound
Light and sound are planned, not hoped for.
Dim banquet rooms, bright stage lights and mixed window light each need a different approach. Knowing the room ahead of time is the difference between clean photos and grainy ones.
Recording a speech with clear sound usually means connecting to the venue's or AV provider's audio. If you want speaker clips, tell us who runs the sound so we can coordinate before the day.
