Lead management

Give each inquiry an owner, a reply and a next step.

"Lead management" just means making sure nobody who asks about your business falls through the cracks. Here is what that looks like for a single inquiry, and which parts a system handles versus a person.

Where this lives

Your GHL CRM backend and scoped AI-assisted and follow-up automation are included in Marketing Launch and Marketing Leadership, including contact records, a pipeline, lead capture, routing, notifications, testing and staff handoff. The written scope selects the actual workflows; the examples below show possibilities, not every included integration. Continuing software, usage and management costs are separate.

One inquiry, five steps

What the system does, and what a person does.

Automation handles the repetitive, time-sensitive parts. People handle the conversation. Each step is configured only as far as your agreed scope requires.

  1. 01

    Capture

    System
The form, call or message is recorded in one place, labelled with where it came from.
    Person
Nobody retypes it or forwards it around.
  2. 02

    Owner

    System
It's assigned by a simple rule, such as service or area, and that person is alerted.
    Person
The named lead owner knows it's theirs.
  3. 03

    Response

    System
An approved acknowledgement tells the customer their message arrived.
    Person
The owner replies personally by phone, text or email.
  4. 04

    Booking

    System
A calendar shows real availability and sends the confirmation and reminder.
    Person
Confirms details and handles anything unusual.
  5. 05

    Pipeline

    System
The stage updates, and inquiries left waiting are flagged.
    Person
Marks it booked, won or lost, and why.

Example scenario

An estimate request that arrives on a Saturday.

An illustration of the path, not a client story.

  1. Saturday evening

A homeowner asks for an estimate through the website.

  2. Right away

It's saved with its source, the owner is alerted, and the homeowner gets a short, approved note that it arrived.

  3. Monday morning

The owner sees it at the top of the new-inquiry list, calls, and books a visit on the shared calendar.

  4. Before the visit

The homeowner receives the confirmation and a reminder. The pipeline shows the visit is booked.

  5. After the visit

The owner marks the job won or lost. Next month's review can see how many inquiries became work.

Automation

Used where it helps. Never in place of a person.

Good jobs for automation

  • Saving and labelling every inquiry
  • Alerting the right person
  • Confirming a message arrived
  • Booking confirmations and reminders
  • Flagging inquiries left waiting
  • Asking for a review after completed work, where the platform allows it
  • Passing inquiries between the tools in the agreed build

Kept with people

  • Real conversations and quotes
  • Judgment about fit and pricing
  • Handling complaints or unusual requests
  • Anything your team hasn't approved in writing

Every automated message uses wording you approve, respects opt-outs, and has a point where a person on your team takes over.

Testing

We test the awkward cases, not just the happy path.

Connecting tools isn't proof that they work together. Before handoff, controlled test inquiries go through the real path, including the cases that usually break things.

Cases we check

  • The same person sends the same inquiry twice
  • One person asks about two different services
  • A required field is missing or the wrong form is used
  • The owner alert fails to send
  • Two bookings try to take the same time
