Measure organic leads by fit, not just form activity

More website activity is useful only if it supports the work the business wants. A local company can receive plenty of messages that are duplicates, spam, outside its service area or unrelated to its services.
Define a qualified inquiry before reporting one. That makes it possible to judge marketing by the conversations it creates, while still keeping sales outcomes and capacity in view.

Agree on a practical qualification rule
Choose a small set of criteria the receiving team can apply consistently. For an illustrative service business, the request might need to match an offered service, fall within the actual coverage area and include enough information for a follow-up.
Do not make the definition so strict that only won jobs count as leads. A suitable prospect who is still comparing options is different from a customer who has signed. Keep qualification, proposal, accepted work and collected revenue as separate stages. Review ambiguous examples with the team so two people do not classify the same inquiry differently.
Distinguish an action from a received message
A contact-button click shows that someone attempted the next step. A submitted form may indicate that a system accepted the request. A receiving inbox or customer record confirms where it arrived. These events should have distinct names in your reporting.
Google Search Console's clicks measure interactions from search to the website, not completed inquiries. Connect that visibility information with the receiving process rather than renaming search clicks leads. For an email-link website, the visitor can open a draft and decide not to send it; the click cannot establish receipt.
Record source with its limitations
Where appropriate tracking is configured, preserve a source label without copying private message contents into general analytics. Keep customer-reported discovery separate from measured attribution. Someone may hear about the business from a friend and later search its name.
Unknown is a valid source value when the evidence is missing. Forcing every inquiry into organic search makes the report look cleaner while making it less trustworthy. Avoid counting the same person twice simply because they called after sending a form.
- Date and receiving record, using a safe internal identifier.
- Service requested and qualification status.
- Measured source when available.
- Customer-reported source in a separate field.
- Next sales stage and outcome.
- Reason for disqualification, without unnecessary private details.
Use the result to choose the next fix
Review patterns over a sensible period. If many requests are outside the area, inspect how coverage is described. If people ask for an excluded service, review the page's scope and the search queries bringing visits. If suitable inquiries go unanswered, the receiving process needs attention before more traffic is purchased.
Keep counts beside percentages and note the sample size. A small business may not have enough volume for strong conclusions each week. Use the report to form a specific question, make a bounded change and check whether the issue improves.
The goal is a short conversation about business decisions: which service attracts appropriate demand, where customers get stuck and whether the team can deliver the work.
